Libraries collection development formulas

Collection policy is an essential element for library for sound development. But most of libraries have no written policy statements. Librarians do their job verbally with each other. There are some formulas or working methods are provide the necessary guidelines for carrying out the majority of tasks within the area of collection building in libraries. These are given below:


  1. Acquisition method: Acquisition method is concerned with obtaining materials by purchase, gift, donation and exchange. In collection development policy more emphasis now is laid in acquisition through purchase materials according to library budget. Because gifted and donated items are not always related with the purpose and programme of the library on the long range basis.
  2. Selector: Is most academic libraries selection is a cooperative venture of the library staff and faculty members. Without faculty teachers opinion, librarian cannot make better selection and their biases to publisher or author are arisen. On the other hand, only teaches are not able to see the overall collections needs of the library. Because they are only wise for their narrow areas of research. so both opinions are necessary for formulation of selection policy.
  3. Organizational units: In academic libraries all organizational units such as acquisition, reference, processing, circulation and administrative unit must mesh with each other. Because as a customer the user satisfaction is directly influenced upon the success of joint venture of this units.
  4. Present materials, user demands and dissatisfaction: Present collection is concerned with the existing materials of a library. If the library resources are not satisfactory conditions for the users, and then the collection development policy will be changed according to their demands. In academic libraries all materials should be academic and these will be preferred very much by the users. But some recreational materials may also be selected for the users refreshment.
  5. Weeding: Weeding means the practice of discarding or transferring to storage excess copies, rarely used and damaged materials. This programme must be include in collection development policy for accessing new publications and avoiding unnecessary and duplicate documents.
  6. Programme with other libraries: To include networking and resource sharing programme is very necessary in collection development policy. It helps to improve the relation among various libraries in bibrary cooperation. Any library can collect valuable materials through this process.
  7. Evaluation: Evaluation is judging the essential merits of materials. without evaluation to select a materials are nothing else to meet the actual needs of the individual users. So, intelligent evaluation by skilled and efficient librarians have to include a collection development policy.
  8. Processing: The emerging library network and its components have implication for the automation of library operation. the sharing of bibliographic record is chief among these implications. Computer in online system provides for the automatic preparation of various processing systems like cataloging, acquisition, classification etc. of a library.
  9. Provided services: A library should have ability to offer some services as: reading room, reference, CAS, SDI, etc. Because the library  is a by the clientele depend on its better services. So service facilities must have to mention in the collection development policy.
  10. Collection media: For purchasing materials librarians should select ideal book vendors and sellers who could execute the acquisition order and rectify the errors expeditiously. To reduce the time lagging he should also inspire the booksellers of local market to bring foreign books.
  11. Inform new publications: It is very necessary to inform the users about new materials being published; new materials available in the library and other libraries. As a result it will be increased the coming ratio of the users to the library.
  12. Edition: In a collection development policy, latest edition of material should get priority for purchasing. The existing collection would be updated, if possible. It helps to meet the current needs of the users.
